In the wild world of business, every penny counts. As a savvy professional navigating the treacherous waters of the corporate landscape, it's crucial to stay ahead of the game. One of the latest buzzwords floating around the boardroom is AI. Yep, AI tools, automations, robots, algorithms.
Hold on to your briefcases (do people still even use these?) because integrating AI tools and automations into your business toolkit isn't just for the big shots anymore.
How Can You Budget For AI Tools If You Don't Know Very Much About Them?

Feeling a twinge of initial panic? How on earth are you supposed to budget for something as elusive and complex as Artificial Intelligence? Fear not, gentle reader, I'm here to guide you through these murky waters....
AI Automation Basics
What exactly are AI automations, and why should you care? Well, imagine having a virtual assistant who never takes a coffee break, never complains about overtime, and always has the answer to your burning questions. That's AI automation in a nutshell. From streamlining workflows like simple Q&A like the Robertson1 Cost Estimate Bot use on my own website (So simple even I made it - WOW!) to predicting market trends, and turning prospects into leads, AI automations are agents that use different AI tools that will revolutionize the way you do business. But here's the kicker – they come at a price. Despite the hype around “no-code” AI automation solutions, there are still costs involved that need to be budgeted for.
Think of it as a game of financial Tetris, where each piece fits snugly into place to create a picture-perfect budget. Start by identifying your AI needs – do you need data analysis tools, chatbots, or maybe even a virtual reality meeting space? Let's dive in...
How AI Costs Are measured: Token Usage
Large Language models (LLMs) like OpenAI often base their costs on token usage. Tokens are a unit of measure for text and can be as short as one character or as long as one word. For example, "ChatGPT is great!" contains 6 tokens. Here’s a breakdown of how token usage works:
Inputs: This is what the user provides. For example, a user might enter a question about a website's services: "What services does your company offer?"
Outputs: This is the response generated by the AI, based on its training data. For instance, the AI might generate an answer: "Our company offers web development, digital marketing, and graphic design services."
As of today, June 21, 2024, the cost for using the GPT-4 model is approximately $0.03 per 1,000 tokens for inputs and $0.06 per 1,000 tokens for outputs. This means small automations can be very cost-effective or even free if usage is minimal. However, high-volume usage does incur costs, but significantly less than hiring a live agent.
For example, if you expect:
100 users per day
Each user interaction averages 200 tokens (inputs and outputs combined)
30 days of operation per month
Your total monthly cost might be around $27 as opposed to a live agent on the other and all that entails.
Crafting a Crafty AI Budget
To ensure your AI budget doesn't spiral out of control faster than you can say "machine learning," here are a few tailored tips:
For Independent Contractors (like me!)
Recommended Budget: $20-$100 per month
Prioritize Essential Tools: Focus on AI automations that can directly enhance your productivity. For example, chatbots for client queries, automated content generation for proposals, and data analysis tools for market research.
Leverage Freemium Models: Use free versions or trials of AI tools to test their effectiveness before committing to a paid plan.
Plan for Incremental Investments: Start with a minimal budget and scale up as your client base grows and your projects become more complex.
When to Seek an Automation Consultant: If you find yourself spending more time setting up and troubleshooting AI tools than working on projects, it might be time to consult an expert.
For Small to Medium Enterprises (2-2000 Employees)
Recommended Budget: $100-$500 per month * with possible initial investment in AI automation consultant.
Integrate AI for Customer Interaction: Use AI chatbots for customer service to handle common queries and free up your human agents for more complex tasks.
Automate Marketing Efforts: Implement AI tools for email marketing, social media management, and lead generation to streamline your marketing campaigns.
Recommended Budget: $50-$300 per month in addition to your current spending
Monitor and Optimize: Continuously monitor the performance of AI tools and optimize their usage to ensure you're getting the best ROI.
When to Seek an Automation Consultant: If implementing and optimizing AI tools starts to require more specialized knowledge than your team possesses, consider hiring a consultant.
For Large Enterprises (2000+Employees)
Recommended Budget: $1,000-$10,000+ per month with initial investment in AI automation consultant.
Comprehensive AI Strategy: Develop a comprehensive AI strategy that aligns with your long-term business goals. This should include tools for predictive analytics, customer relationship management (CRM), and advanced data processing.
Dedicated AI Budget: Allocate a dedicated budget for AI initiatives, ensuring there are funds for both implementation and ongoing maintenance.
Training and Development: Invest in training your employees to effectively use AI tools, ensuring that the workforce is prepared to leverage AI for maximum efficiency.
When to Seek an Automation Consultant: Large-scale implementations, complex integrations, and custom AI solutions often require the expertise of an automation consultant to ensure successful deployment and management.
When you budget effectively for AI tools, the return on investment (ROI) can be substantial. AI can help improve productivity, enhance customer experiences, and drive innovation, ultimately leading to increased revenue. By integrating AI, you can automate mundane tasks, allowing your team to focus on strategic initiatives.
